After each office visit, our agent will take note of your open and constructive feedback.

* Effective rental rate & net usable space
In order to make your decision on which deal is the best for you, don’t forget to consider the effective rental rate.

Ex: You are renting a RMB100/sqm/month office over 24 months and you’ve obtained 2 months free rental in an office building with a management fee of RMB25/sqm/month.
Your effective rental rate is then (100rmb/sqm * (22/24)) + 25rmb/sqm = 116.7rmb/sqm/month.
Besides it is necessary to also consider the net usable office space you have delivered. Most of the time usual space will be around 70%.
Meaning that if you actually rent a 100sqm office space, you will only obtain a 70sqm net office space. Adding a 30% on what you are looking for would make you obtain what size you are really looking for.

Negotiate terms for
contract management

Finding an office space in Beijing who fit your company’s needs should not be of an enormous worry,

* Rental free & free rental fit out period

Rental Free period. This mostly happens when an office space is either new or empty in order to attract more potential clients.
That free rental period for your office space can be used by you starting from the beginning of your tenancy agreement (3 first months for free) or can be dispatched on each years of your contract (1 month every year).

The other free rental is called the Free Rental fit out period. It is the most common rental free asked by agent for their commercial clients.
This rental fit out period can be added to a previous free rental or not depending on the building situation.

Actually, most of Beijing office spaces are delivered bare-shell and require their tenant time for renovation.
Therefore from 1 to 6 month can be obtained as free fit out period depending on your office size.
However, most of the time private landlords or developers will ask the tenant to pay all management fees during that rental fit out free period.

Grade A and B offices as well as any well located local offices have experienced a boom in rental prices during those recent years, mainly due to new government regulations and fewer construction permits delivered.
Office renovation costs have also seen their prices increased lately due to rapid workers´ salaries raise as well as goods.

It is now for sure that you have secured an office with the entire legal required documents for your registration.
Your company is now entering definitely the second most sensitive part of your office space relocation “The Fit-Out”

All design and engineering plan which has been done before the signature of the space needs to be approved to start the renovation in most grade A and B buildings. Indeed, before starting your fit out period, your company will have to get an approval from the building (management) as well as some government bureau (fire departments).
In most of the case, the design or construction company will be in charge of those administrative tasks.

Once you have finally received all approvals for your office fit out, then your construction company can start the renovation. Depending on each building, hours allowed for renovation will have to be respected.

Settling In (Check in):

  • Supervise property cleaning prior to company’s employee’s move-in date

Exit of an office Lease

Hopefully for good reasons, you need a bigger office space or maybe worst case scenario you need to move out for a cheaper location or simply close the business.
Breaking a contract is never an easy thing to do!

Unless the property-owner has agreed to a break option in your lease contract, you will have to sacrifice your security deposit and even sometimes additional compensation depending on your tenancy agreement stipulation clauses.
It is then really important to minimize the number of deposit as much as possible and of course avoid any additional compensation clauses inside your tenancy agreement.

Renewal of an office lease

One of China’s big cities (Beijing, Shanghai, and Guangzhou) main challenge for any companies is that market price for almost anything is constantly increasing at a rapid speed.
For those reasons it is often a big deal to manage while renewing any real estate lease contract.
Even after only one or two years of contract, market prices are extremely different and therefore while renewing a contract, many companies cannot afford anymore the new rental asked by the landlord and have to finally leave.

In order to avoid that situation, it is necessary to obtain a longer lease as well as specify some special clauses inside the original leasing contract in order to protect you while renewing years after for a new lease term.

Termination of an office lease

Renewal of an office lease

If no renewal is plan, then our team will afterwards receive your moving out confirmation letter that tell the landlord of your moving date in advance (2 month) and assist you in your check out:

  • Coordinate final bill payments (Electricity, telephone and internet bills)
  • Take pictures of the office condition for reference to landlord
  • Move out some furniture and plants
  • Return all keys and cards to the landlord
  • Request security deposit from the landlord
  • Collect your mails inside the mailbox of your building
  • Inform your lawyer to unregister your company from that current office space
  • Advise you where and how to sell some of your furniture or equipment if wished

Any major damage caused during your stay in that current office space (break window, etc) will have to be noticed to your Scout Real Estate agent in advance for him to let the landlord know.
